How to Choose Golf Cart Rental Software

A practical, no-fluff guide for golf cart and LSV rental operators. What features actually matter, which pricing models are traps, and how to tell a real cart-specific platform from a repurposed rental app.

1. What golf cart rental software is

Golf cart rental software is the operating system for a cart rental business. The good versions combine four things: online booking, fleet management, delivery scheduling, and GPS tracking. The bad versions are repurposed tour-booking platforms or generic rental tools that technically work but ignore how cart operations actually run.

You'll see it called golf cart rental management software, golf cart rental booking software, or golf cart fleet management software — they all describe roughly the same category. What matters is whether the platform was built for carts or retrofitted from something else.

2. 10 must-have features

01

Online booking and reservation management

Customers expect to book online, pay a deposit, and get a confirmation without ever calling you. Look for a golf cart booking system with deposit handling, customizable rental durations (hourly, daily, weekly), and automatic availability blocking.

02

Fleet GPS tracking

If you can't see where your carts are between rentals, you'll lose them — period. The best golf cart fleet management software now uses Apple AirTag integration (~$29/cart, one-time) instead of $400+ hardwired GPS units. Demand a live map view with zone classification.

03

Delivery scheduling and routing

Coastal operators don't just hand carts over a counter — they deliver. Your software should auto-route daily delivery runs by zone, chain pickups into the next drop-off, and split routes between trucks. Manual spreadsheet routing falls apart at ~15 deliveries/day.

04

Driver mobile app

Drivers need their schedule, the customer's address, gate codes, and one-tap check-in/check-out — on a phone, not on paper. Bonus: GPS breadcrumb route playback and automatic timesheet generation.

05

Per-cart maintenance logs

Lead-acid batteries need watering, lithium packs need charge-cycle tracking, tires need PSI checks. Skip platforms that only offer a generic 'notes' field. You want service intervals, automatic reminders, and a per-cart history that survives a turnover season.

06

Photo damage check-in / check-out

Required for chargebacks. Customer signs the rental on a tablet, drivers take 6–8 photos at drop-off and pickup, everything is timestamped and tied to the booking. Saves thousands per season in disputed damage claims.

07

Multi-location / multi-zone support

Even single-island operators usually run delivery from one warehouse to 4–8 zones. If you have a second location, you need shared availability and per-location reporting without buying a second subscription.

08

Customer communication automation

Booking confirmation, day-before reminder, drop-off-on-the-way text, and a pickup notification. The best golf cart rental booking software handles all four via SMS and email automatically.

09

Honest, predictable pricing

Avoid platforms that charge a percentage of every booking AND a monthly subscription AND payment processing on top. See the pricing models section below.

10

U.S.-based support (if you operate in the U.S.)

Coastal Saturdays are when things break. If your support team is asleep in Amsterdam when your peak-day driver app crashes, you're going to have a bad time.

3. Pricing models, explained

Most operators get burned not by the sticker price but by the pricing model. Here are the three you'll encounter:

Flat monthly (best)

$0–$500/mo regardless of bookings. Predictable. You keep 100% of revenue minus payment processing. Best for established operators with steady volume.

Monthly + small per-booking %

Modest subscription plus 2–4% per booking. Reasonable if the platform genuinely earns the percentage with marketplace traffic. Beware platforms charging 6–8% with no actual marketing benefit.

Pure marketplace (worst for established operators)

0% subscription but 15–25% of every booking. Great while you're starting, terrible once you have a customer base. You're paying them to send you customers who already know your name.

Rule of thumb: do the math at your real booking volume. A 6% fee on a $250,000-revenue season is $15,000 — more than most annual subscriptions.

4. General vs specialized platforms

You have two real choices: a general rental platform like Booqable that handles any rentable inventory, or a cart-specific platform like Golf Cart Rental Software that's narrow on purpose.

General platforms win on breadth — if you rent kayaks AND carts AND audio gear, one tool is better than three. They lose on depth — no GPS, no route auto-generation, no driver dispatch, no PSI tracking. Specialized platforms reverse that tradeoff.

The honest test: if carts are more than 50% of your revenue, the specialized platform almost always pays for itself in the first month through saved delivery time and fewer lost carts.

5. Questions to ask before buying

Walk into every demo with these seven questions. Watch how quickly they answer — hesitation is data.

  • Can I see where every cart is right now, on a map, in under 10 seconds?
  • How long does it take to build tomorrow's delivery run from today's bookings?
  • What happens if a driver doesn't show up — can I reassign their route in two taps?
  • What's my all-in cost per booking, including subscription, % fees, and payment processing?
  • Can I export my customer list whenever I want?
  • Who answers the phone on Saturday afternoon in July?
  • Does the software actually understand carts (PSI, charge state, zone), or is it a generic rental tool?

6. Our 2026 shortlist

We're biased — we make Golf Cart Rental Software. But here's an honest breakdown of who fits which kind of operator.

Golf Cart Rental Software

Best for coastal golf cart & LSV operators who deliver

Purpose-built for cart and LSV rentals. AirTag GPS, auto-routed delivery, driver dispatch, per-cart maintenance, 0% booking fees for the first 3 months then 3%. Starter free forever for founding customers, Pro $299/mo.

Booqable

Best general-purpose rental software

Strong all-around rental platform if you rent a mix of equipment (carts + kayaks + bikes). Doesn't include GPS, driver dispatch, or auto-routing. ~$35–$375/mo plan-based.

Checkfront / FareHarbor / Peek Pro

Built for tours & activities, not vehicles

Designed for ticketed tours and activities. They'll technically handle a cart booking but lack fleet management entirely. Skip unless tours are your real business.
